Wilcox will print personalized brochures
or fliers detailing your tour. Your responsibility to Wilcox is to actively market
your tour through distribution of your brochures and making it known that
you are taking a group to the given destination. Once you get your prospective tour
member to commit by making a deposit, Wilcox will follow up with that tour member by
taking care of all the many details involved in travel.
Computerized Summary
 
When you send us a signed tour host application, Wilcox Travel
will open a file just for your tour. Each day all information pertaining to your
tour is recorded (deposits, domestic air requests, rooming, payments, etc). The computer
summary is updated daily and any question you may have pertaining to any phase of your
tour can be answered.
Passenger Information 
After a deposit is received by Wilcox Travel, a
letter of acknowledgment is mailed to the passenger along with an itemized billing
statement and a general pamphlet on your destination that will answer most general
questions about weather, clothing, passports, insurance, etc. Prior to departure, each
tour member will receive a Wilcox Travel flight bag along with final documents.
Statements


After a deposit is received, either directly
from you or from your passengers, Wilcox will send a monthly statement to every passenger.
Your passenger can make installment payments with the entire balance due 60 days
prior to departure. Wilcox will collect the balance from the passenger.
Tour Information


To keep you up-to-date on your tour status,
Wilcox will mail or fax you a status report on your tour giving you names, addresses and
payments of all registered tour members. We can also supply you with name and
address labels if you wish to do a mailing to your people. Room and alpha lists can
also be run at your request.
Internet Advertising
 
Wilcox will publish your tour free of charge on
our Internet site along with your picture and a personalized invitation from you to
prospective tour members.
Tour Host Benefits


Wilcox Travel will offer one free tour for every
5 full-paying passengers and cash per
full-paying passenger not utilized toward a free tour. Wilcox will pay you all
earned benefits prior to departure on all passengers who have paid in full for the tour
and all optionals.
Final Documents


Approximately 10 days prior to tour departure, each fully paid participant
will receive a personalized document folder containing the following:
Airline tickets and itinerary
Final information letter recapping the tour
Address, phone and fax of the land operatore
Name badge
Color coded baggage tags
Wilcox World Travel and Tours flight bag
Travelers insurance pack
Passenger name list of all participants on the trou
Rooming list
Tour evaluation form
In addition to the above, the tour host will receive:
List of airline ticket numbers for entire group
A check for tips with distribution and breakdown amounts
for each party,
including completed envelopes.
